VatuPay was built with a Vanuatu operator, against Vanuatu's rules, for the way pay really gets done here, from the first hour entered to the file that goes to the bank.
Pay runs
The pay run, start to finish
One screen from opening a period to a finalised run you can pay from. No spreadsheet in the middle.
Weekly, fortnightly or monthly
Fortnightly by default, at 26 pays a year. Salaried fortnightly pay is derived as monthly salary × 12 ÷ 26, and a daily rate is kept in step with the salary automatically.
Live totals, line by line
Edit hours, overtime, allowances, deductions and loan repayments per employee. Gross, VNPF, net and employer cost recalculate as you type.
Finalising snapshots the rates
A finalised run stores the VNPF rates, threshold and settings it was created with. Change Settings later and last month's numbers stay exactly as they were paid.
Standard and Ground & Sailing modes
A second run mode for operators whose crews are paid differently at sea than they are ashore.
Overtime at ×1.5
The default multiplier against a 44-hour standard week, both adjustable in Settings.

VNPF
The fund, handled properly
The part that costs businesses the most time to get right, and the most money to get wrong.
6% employee + 6% employer
12% in total from 1 January 2026, with each half tracked separately, because they are remitted together but they are not the same money.
The VT 3,000 threshold, automatic
Contributions are compulsory for employees earning at least VT 3,000 a month. VatuPay applies that test per person, per period, using the right monthly factor for weekly and fortnightly runs.
Monthly return, ready to file
A remittance schedule for any month or date range, employee by employee, with the employer number on it and a CSV export.
Rates you control
Both halves, the threshold and whether VNPF applies at all are settings, so when the fund moves, you move with it.

Payslips and the HR letters that surround them, filled in from the employee's own record.
Full-breakdown payslips
Earnings, allowances, deductions, loan repayments, the VNPF employee share and an employer-contribution summary. Print one, or a whole run at once.
VT 0 income tax, stated
Vanuatu has no PAYE, so the payslip says so rather than leaving a blank line staff have to ask about.
Seven letter templates
Confirmation of Employment, Letter of Offer, Salary Review, Written Warning, End of Employment, Leave Approval and a general letter, each merged with the employee's details.
Pay review documents
Reviews on a monthly, quarterly, six-monthly or yearly cadence, ending in a document you can hand over.

The banks you actually use
National Bank of Vanuatu, BRED Bank Vanuatu and Wanfuteng Bank, each in that bank's own bulk-payroll layout, generated from a finalised run and ready to upload. Banking somewhere else? Send us the template and we'll add it.
The columns the bank expects
BIC, employee name, account number, amount, purpose and note, in the order and the field lengths your bank asks for, so the upload is accepted first time.
Whole Vatu, always
The Vatu has no minor unit, so amounts are whole numbers. Nothing arrives at the bank with a stray decimal.
Nobody disappears
Staff without an account number on file are listed back to you with the reason, instead of quietly falling out of the file.
Excel exports
Payroll register, VNPF schedule and pay history out to Excel or CSV whenever your accountant asks.

Staff loans with interest
Issue a loan against an employee, set the flat rate (10% by default), and repayments come off each run automatically until the balance clears.
Severance under the Employment Act
One month's pay per year of service, due after twelve months, worked out from the start date. Section 56, encoded and editable.
Pay reviews on a cadence
Monthly, quarterly, six-monthly or yearly. VatuPay tracks who is due and produces the document at the end.

Bring your whole staff list in from a spreadsheet on day one, with a review step before anything is saved.

The defaults, in full
What VatuPay assumes before you change a thing. Rates and rules are encoded from the best available public guidance and are all editable. Check them against current VNPF and Department of Labour advice before your first live run.
